Quotations
A quotation is a formal document that provides a proposed price for products or services to a customer. It includes details such as product descriptions, quantities, pricing, discounts, terms, and validity. Quotations help customers make purchasing decisions before finalizing a sale.
To add a quotation first you have to go to the sale section and click on quotation. After just click on new quotation button and follow the below steps:
Customer: Choose the customer for whom the quotation is created.
Email: Set the customer email address.
Mobile Number: Set the phone number of the customer.
PO: Set the purchase order.
Shipping Address: Write down the address to where you have to send the product.
Warehouse: Choose the warehouse from which the product will be supplied.
Set Date: Enter the date of the quotation.
Reference No: Enter the reference number.
Valid Till Date: The last date until which the quotation remains valid for acceptance.
Product Name: Select Product: Choose the product for which you are creating the quotation.
Quantity: Enter the number of units of the product included in the quotation.
Rate: Enter the price per unit of the product in the quotation.
Amount: The total price calculated based on the quantity and rate of the product.
Shipping Charge: Write down the delivery charge of the product.
Discount: Write down the discount rate if applicable.
Amount In Word: Payment amount in word.
Save: If you click on the save button your quotation will be recorded successfully.
Save and Close: If you click on this button your quotation will be recorded and the quotation page will be closed.
Save and New: If you click on this button your quotation will be saved and a new quotation page will appear so that you can make a new sale.
Save and Email: If you click on this button your quotation will be saved and email will be sent to the customer.
Save and Details: If you click on this button your quotation will be saved and you can see the details.
Add Note: If you want you can add any note to quotation.
Add Attachment: If you want you can add any kind of attachments to quotation.
After saving the quotation will be shown on the list with details such as:
Date: The date when the quotation was created.
Invoice No: The invoice of the quotation.
Customer Name: Name of the customer for whom the quotation is created.
Branch: The specific branch from which the quotation is issued.
User: You can see the user name.
Convert Status: You can see the convert status if the quotation is converted to sell or not.
Actions: You can see the available actions for the product.
By clicking the select button you do multiple actions. Such as:
Convert to Sale: This option allows you to convert the quotation into a sales order if the customer agrees to the terms and pricing.
Edit: Modify the quotation details, such as product, quantity, price, discount, or validity date, before finalizing it.
View: Allows you to see the complete details of the quotation.
Download: Allows you to download the quotation as a PDF or other supported format.
Clone to Quotation: Creates a duplicate copy of the existing quotation, allowing you to reuse or modify it for a new customer or order.
Delete: You can delete the quotation.
Search: You can find out any specific quotation from the list by using the search.
Export Data: You can export the data table from here.
